How to connect FlexMyRoom with Cloudbeds for the first time?
It’s easy: once you have granted access using the Connect App button to connect FlexMyRoom with Cloudbeds, you will be redirected to a form where you will only have to fill your contact details and the countries where your properties are located.
A member of the FlexMyRoom team will contact you to analyze together which partnership model suits you best depending on your type of customers.
How to sign up for FlexMyRoom?
Once you are connected to FlexMyRoom, you don’t have to worry about anything. The insurance process is fully integrated in Cloudbeds and automated for all your direct customers. You don’t need to log in or out. You only need to request the connection with FlexMyRoom. Our team will help you with the setup and once we are up and running, your website will offer customized insurance.
What should I do if I disconnect from FlexMyRoom by mistake?
If you have already filled in the form with your contact details, you don’t need to start from scratch again. You can send an email directly to sales@flexmyroom.com to update your details or to continue the process where you left off. A member of our team will get in contact with you as soon as possible.
Specific functionality of the integration.
The integration will allow you to add insurance to your bookings to optimize your revenue. Insurance policies can be included in certain bookings or be optional, so your guests can choose to add them to their booking.
The policy will be synced with the booking, adapting to any modification and keeping your guest informed in a clear and friendly language.
We support the connection of Group Accounts with several associated properties.
What are the limitations of the integration?
The connection is not automatic. You will have support from the FlexMyRoom team in order to connect successfully.
With our technology, you can customize which bookings will be insured and under what conditions, depending on your needs. If you want to change the configuration established during the initial setup, you will need to get in contact with us via hotels@flexmyroom.com so we can make these changes.
At the moment we can only connect hotels located in Europe, Mexico or Dominican Republic.
How to set up insurance-included reservations in Cloudbeds?
Inclusion insurance allows you to achieve your business goals, such as reducing cancellations, improving conversion, or differentiating from your CompSet, among others. You will include insurance in the reservation for some of your guests for that purpose.
In order to include it, you must
- Create a Service Item
- Set up the Service Item created as an Add-on, but do not add an interval in the “Availability” section.
- Configure some of your existing rate plans or a new one to include the insurance add-on you just created in the “Do you have any add-ons included in this rate plan/package?” dropdown. Ideally, the rate plan name (public) and inclusions sections should mention that the rate plan includes insurance.

However, this is just a general guideline and specific configurations will depend on the particular insurance you want to include. As usual, our Customer Success team will assist you in the specific configuration process and answer any questions. The process will also require you to provide the “Rate Plan Name (private)” to them so we can do the mapping on our end.
How to set up optional insurance in Cloudbeds?
Optional insurance allows your guests to purchase hospitality insurance at the end of the booking process in the Cloudbeds booking engine. You must create a Service Item and set it up as an Add-on. You can see a general guide in this article.
However, the specific configuration will depend on the particular insurance you want to offer. Our Customer Success team will assist you in the process. Based on your property typology and goals, we will recommend which insurance could be more interesting for your guests and guide you through the configuration.
Can I mix included insurance and optional insurance?
Sure. Actually, many of our customers mix both. They offer inclusion insurance to some guests and optional insurance to others. It’s that simple.
How to disconnect the apps?
Before disconnecting the application, the guests from all insured bookings should have left the hotel. If the application is disconnected before that point, the insurance policies will not be activated when the client checks in and will not adapt automatically to changes in the booking.
If you wish to end your collaboration with FlexMyRoom, please contact us via hotels@flexmyroom.com so we can stop insuring new bookings and confirm if you can safely disconnect the application.
